Position Overview:
Reporting to the Director of Financial Aid Office (FAO), the Student Services Specialist III (Financial Aid Programs & Compliance Coordinator) administers the Federal Work-Study (FWS) and Federal Supplemental Educational Opportunity Grant (FSEOG) programs and oversees National Student Loan Data System (NSLDS) enrollment reporting on a college-wide basis. This position ensures the FAO meets federal compliance requirements and maintains audit readiness and compliance, safeguarding the College's Title IV eligibility by managing time-sensitive federal reporting duties.
Duties:
  1. Work-Study and FSEOG Program Administration:
    • Screens and determines student eligibility for the Federal Work-Study (FWS) program based on financial need analysis;
    • Places eligible students in on-campus and community work assignments and monitors their job performance;
    • Solicits and develops work-study positions on campus and in the community, ensuring assignments align with student skills and program requirements;
    • Coordinates work-study recruitment, placement, and reporting with state campuses;
    • Verifies submitted timesheets, certifies hours worked, and processes work-study payroll accurately and on time;
    • Counsels students on effective work habits, workplace expectations, and overall employment readiness;
    • Assists students in completing required work-study and financial aid documentation;
    • Interprets and communicates state and federal financial aid policies and procedures to students, supervisors, and campus staff;
    • Enters, updates, and maintains accurate student data in the financial aid databased and Excel tracking systems;
    • Maintains organized, audit-ready work-study files and records;
    • Administers the FSEOG program, including awarding, disbursing, and managing program funds in compliance with federal Title IV regulations;
    • Assists in preparing fiscal and federal reports, including the Fiscal Operations Report and Application to Participate (FISAP);
    • Reviews, updates, and processes work-study forms and related program documentation;
    • Serves on office, departmental, or College committees as assigned.
  2. NSLDS Enrollment Reporting and Financial Aid Audit Compliance:
    • Updates and submits student enrollment status data to NSLDS in collaboration with the Registrar's Office, ensuring accurate and timely reporting of enrollment changes that affect federal loan grace periods and repayment status;
    • Conducts internal audits of award disbursements and verifies student eligibility documentation to ensure compliance with federal financial aid regulations;
    • Reviews and updates financial aid policies and procedures in response to regulatory changes and audit recommendations;
    • Implements corrective actions identified through federal and institutional audit findings, ensuring FSEOG and NSLDS processes meet Department of Education compliance standards;
    • Maintains documentation and reporting practices necessary to support the College's continued eligibility to participate in Title IV federal student aid programs.
  3. Other duties as assigned.
Minimum Qualifications:
Bachelor's degree from a US accredited university with major coursework in Educational Counseling, Social Science, or a related field, and three years of progressively responsible experience providing education services, counseling, or other assistance to students or related groups. Experience with federal Title IV financial aid programs (FWS, FSEOG) and NSLDS reporting preferred. Knowledge of College programs, policies, and regulations; academic and personal counseling techniques; and principles of modern office management, including Federal Work-Study, FSEOG, and NSLDS compliance requirements. Working knowledge of NSLDS, FAA Access, and federal financial aid audit/compliance procedures preferred. Ability to establish effective working relationships with students, faculty, staff, and the community; plan, schedule, and evaluate program activities; and analyze program effectiveness and implement corrective actions to address federal audit findings. Proficiency in office suites, financial aid software, spreadsheets, and communication platforms.
