Under the supervision of the Instructional Coordinator, Administrative Assistant I position is to provide a variety of administrative services to support the supervisor, faculty, instructional staff and programs at the CTEC including the following:
- Plan, organize and carry out a broad range of secretarial and clerical functions.
- Write variety of business letters, summaries, and reports complying with appropriate format and conforming to the rules of grammar and style such as monthly and quarterly reports
- Plan and oversee faculty evaluation schedule/timeline and ensure that they are carried out
- Develop, verify and submit personnel time sheets in a timely manner
- Coordinate and implement college policies and procedure, especially pertaining to instructions
- Perform duties as delegated with minimum or no supervision
- Oversee purchase and maintain sufficient inventory of supplies and equipment both for office and classroom needs
- Serve as a liaison between the instructional department and faculty to ensure uninterrupted daily operation
- Coordinate all usage of instructional facilities at CTEC
- Oversee SIS activities to facilitate student course registration
- Supervise work-study students assigned to the instructional department
- Receive, organize and review assessments, grade sheets, and class schedule
- Maintain confidential files and records or instructional programs, personnel, and students
- Maintain documentation of appointments and meetings for instructional at CTEC
- Oversee and reconcile files and records for instructional at CTEC
- Effectively carry out instructions of the DAP and CTEC Dean
- Coordinate, update and advise faculty of schedules and classroom assignment
- Develop and update personnel contracts, faculty workload and personal services contracts
- Tactfully liaise between the instructional and others, both within and outside the college
- Serve on facilities committees and other relevant committees
- Assist with the operation of the Dean's Office when required.
A high school diploma and four years of progressively responsible work experience of a caliber which demonstrates competence in assisting in the administrative details described above. Associate degree from a US accredited college with emphasis on management or secretarial training is preferred. Ability and successful experience handling confidential files and information. Must have excellent organizational skills; English language proficiency, knowledge of basic word processing: Word, Excel, and Access Database. Must be assertive, initiative, friendly, courteous and a team worker.
Foreign credentials must be equated to meet US standards in the field of work using World Education Services at http://www.wes.org.
