Duties:
Serve as the office manager of the Center's Administration; coordinate and implement college policies and procedures as needed; serve as an advisor to the Dean on personnel matters; maintain confidential files and records of the campus personnel; coordinate the usage of facilities and equipment for both within and outside the college community; supervise clerk typist and work-study students; actively participate in the management of the Campus Director’s office by generally assuming full responsibility of the administrative and clerical details of the office; the incumbent of the position in this class must exercise considerable tact and judgment in handling callers, visitors, other employees and officials; will invariably have access to and knowledge of confidential information relative to policy matters; personally handle as many matters as delegated with minimal supervision; serves as the liaison between the Dean and other key staff personnel to ensure smooth workflow of the Center’s daily operation; performs other duties as assigned. Assist campus dean with TA, PRs, Budget preparation , orientation of new personnel, incentive award, attend meetings and taking minutes, answer telephones, taking massage, make announcements for campus, etc. Serve on committees.
Minimum Qualifications:

An associate degree, preferably in Business or Secretarial Science with 4 and ½ years of full time progressive responsible secretarial work involving providing personal assistance to an administrator or executive by attending to the administrative details of an office exercising an overall awareness of the activities and administrative framework of the program/organization and exercising sound judgment in delegated responsibilities. Foreign credentials must be equated to US standards using World Education Services at https://www.wes.org. Good command of the English language, both written and spoken. Good command of Pohnpeian language is a plus. In the absence of the requirements above, the college may also consider candidates who graduated from high school and with eight and ½ years of progressive responsible secretarial work involving providing personal assistance to an administrator or executive which demonstrates possession of the required knowledge and abilities in this position.
Knowledge: Good general knowledge of computers, secretarial and administrative principles and practices applicable to large organizations; organization of the college and internal interactions and working relationships as well as the branches of the government; the operation and operational maintenance of various office machines and equipment; principles and practices of supervision; accounting and financial concepts and business mathematics to assist with work on budgets and other computations that the office handles; sound knowledge of office practices and procedures.
Ability: plan, organize and carry out a very broad and complex range of secretarial functions; organize, assign, direct and review the work of others; learn and apply knowledge of the center and college, procedures and skillfully apply a working knowledge of the organization and programs of the college; understand and interpret the views of the center’s dean, including any special interests and official social obligations; deal tactfully with people from within and outside the college community; type accurately at 45 wpm; write varied business letters, summaries, minutes and reports requiring judgment as to appropriate format, conforming to all rules of grammar and style; effectively carry out college policies and instructions of the supervisor and drive a vehicle.
