Duties:
Under the direction of the college’s Registrar, the Student Services Specialist I-Records Specialist acts as the resource person for technical and complex inquiries and information requests relating to the college’s records and/or documents management services. The staff is expected to function independently in accordance with college and applicable external statutory requirements, subject only to minimal general direction and review. Responsibilities include, but by any means not limited to:
  1. Plan and coordinate the development and implementation of a uniform system of permanent records management and document retrieval for the college.
  2. Prepare the assembling of documents, scans, inputs academic records; review files; ensure data accuracy for compliance with institutional policies and applicable external statutory regulations; audits documents for consistent good document sourcing.
  3. Receive, organize, store, and conduct inventories, tracks, and retrieves records
  4. Coordinate and monitor the release of information and/or records to authorized departments, divisions or offices;
  5. Monitor and assist with the development of the college’s records and documents control schedule and procedures.
  6. Evaluate and verify all incoming records for storage and destruction are processed in accordance with the college’s records or documents control schedule and established procedures;
  7. Appraise and analyze college records for retention and disposition; apply pertinent federal and state laws; maintains permanent records of destruction and certificates of destruction; coordinate and implement procedures and security of archival records and materials.
  8. Conduct quality assurance audits on college permanent records scanned into the records imaging system;
  9. Assist in data entry of student data in the Student Information System (SIS); assist in other OARR, e.g., registration, administration of the COMET, orientation, college fairs, commencement exercises, and others;
  10. Process enrollment verification and/or certification to support student’s scholarship and other application for financial assistance, e.g., FSM social security, National and State scholarship, including employment application; and
  11. Serve on committee and perform other work and duties as assigned.
Minimum Qualifications:

Bachelor's degree in Social Sciences, Business Administration, Information Technology or other related field from a US accredited college AND at least two years of successful work experience at the secondary and/or postsecondary level. Considerable knowledge of records management principles, procedures and current practices. Ability to analyze record keeping systems, security and access controls and facilities; identify issues and areas of improvement and recommend policy changes, systems and equipment to address them; exercise independent judgment and make decisions with minimal direction and guidance; communicate clearly and concisely, both orally and in writing; plan, organize, set priorities and accomplish tasks with minimal supervision; and establish and maintain good working relationships with college administrators, faculty, staff, and external agencies and/or offices. Knowledge of current trends in information technology pertaining to security, retention and destruction; Skill in interpreting and applying laws, regulations (FERPA) and applicable accreditation standards and requirements. Proficient in use of office suites, presentation software, spreadsheets, communication and collaboration tools, database, document imaging software, and others.
