Duties:

Coordinate and administer the support functions in these specific areas to enhance the activities of the office and maintain an organized and smoothly run operation but not limited to these:

  • Board of Regents- Schedule orientation and trainings, prepare administrative documents for their travel and activities, Coordinate preparation of board meetings regardless of the venue, communicate with board members and vice presidents to get reports submitted and work with other offices and individuals who have a part in the board meetings.
  • Executive Committee - Maintain meeting calendar, issue notice of meetings including scheduling of electronic meetings and serve as the secretary handling logistics and administrative support.
  • Policies and Procedures - Coordinate administration of policies and procedures for systematic review, analyze policies and procedures to identify potential problems and serve as the policy coordinator.
  • Administrative functions - include but not limited to taking meeting minutes and information at meetings and conferences for President, preparing reports of transactions and events. Prepare correspondence from general guidelines and notes, draft policy papers, speeches and significant memoranda; attend staff meetings to provide historical and substantive information/facts regarding issues discussed, communicate requisite information between president’s office and other administrators, faculty and staff; follow up on issues and concerns raised and assigned to the office, board of regents and meetings where president is in attendance and/or delegated to resolve; recommend appropriate action to the president after reading, analyzing and summarizing significant reports and documents received; prepare and update the president for meetings with update to date information on tasks and subjects of meetings, conduct research and gather information as needed on assigned tasks, and review personnel requests for appropriate action based on existing policies and procedures; support budget development and day to day management and report. Receive visitors, direct them to relevant offices and meeting venues; answer telephone, take and relay messages to president. Make campus wide announcements from the office when relevant and serve on committees.

Minimum Qualifications:

Bachelor's Degree from a US accredited institution in business or public administration or education with 3 years of progressive administrative experience with comparable scope and complexity. Foreign credentials must be equated to US standards using World Education Services at http://www.wes.org. Must be proficient in the use of email and MS word and applications. Must demonstrative excellent communication skills, written and oral skills, speech writing and detail orientation to duties; evidence of successful handling of confidential matters, evidence of multi-tasking and successful coordination and working with diverse programs and individuals.
