Under the supervision of the Campus Dean, the administrative assistant is primarily responsible for all assigned administrative duties of the Yap Campus and serves also as the HR Representative.

Duties:

Improves and maintains excellent and systematic record keeping of office correspondence and documents, assists and provides administrative help to the campus director and staff in the office, serves as a receptionist to visitors and students by providing general information about the campus and its programs and services, answers telephone in a courteous manner and be ready to provide needed information, assists the fiscal officer in preparing purchase orders, travel authorizations, and vouchers and other administrative documents relating to finance, assists, the fiscal officer in the procurement procedures, maintains the office in a well organized and professional manner, keeps appointments and provides friendly reminders for all the staff and faculty, assists the faculty and staff with copying of documents, be in charge of all office equipments to ensure they are running smoothly, keeps an inventory of office and classroom supplies, materials, and equipments and to request replenishment in a timely manner; plans, trains and supervises work study students or others assigned, be in charge of incoming and outgoing mail, including clearance of goods purchases on and off- island; takes, makes and keeps minutes of meeting for  staff and faculty committees, serves on committees, & performs other duties as assigned.

Minimum Qualifications:

A high school graduate. Associate degree with emphasis on management or secretarial training is preferred. Four years of experience which demonstrates competence in assisting in the administrative details of a 2 year college campus, must have excellent organizational skills. Knowledge of: fiscal and general administrative recorkeeping practices, budget and expenditure management process; office management services; standard office equipment, practices and procedures; business English; spelling, grammar, arithmetic and records management. Ability to: manage the administrative details of a 2 year college campus carrying out all or a major portion of administrative support functions; good English language proficiency, knowledge of basic word processing, spreadsheet, and database software; be friendly, courteous and a team worker; willingness to participate in training for skills upgrade a plus.
