: Support and Administrative Duties: The Administrative Assistant I as the office representative will perform the following: dealing with inquiries and students' needs at the counter and communicate needs with IT specialist and technicians during the work day; normal Information Technology Office (IT) functions such as timesheets and filing (hard & soft; support set up of meeting, taking meeting’s minute, etc. for committee & working groups as required; edit draft documents for accuracy, completeness and clarity; organize, assign, direct, and review the work of work-study students. Budget/Procurement/ Monitoring: order and follow up on supplies, equipment’s, and services requests, etc.; prepare and follow up on travel requisitions, vouchers, personnel actions, special contracts, etc.; track and monitor office budget, workload and expenses; prepare monthly reports and assist in the overall development of the office budget. Other Duties: Serve as a procurement officer; vendor contact and relations, warranty tracking, order tracking arranging delivery and setup of new equipment; provide technical support for inventory management system within the office; contact the State Campuses on technical issues and act as IT supply officer; prepare forms such as receiving reports, custom forms, duty fees, etc.; compile and/or assist with compilation of quarterly, annual and other required reports for IT and the college
Regulatory Environment: stay informed on the requirements governing the functions of the office and documentation requirements of the college including college policies and procedures, FSM Government, WASC/ACCJC (accreditation) and US federal regulation.
Graduation from high school with four years of progressively responsible work experience. OR an AS degree from a US accredited institution with major coursework in office management, business administration or secretarial science and with two years of progressively responsible work experience. Bachelor’s degree in Information Technology field with applicable certificates preferred. Knowledge and ability to use PC computers, familiarity with Microsoft word, excel PowerPoint and other Microsoft programs, perform speedy and accurate mathematical calculations, fiscal and personnel record keeping, office management and students services support work.
